Sponsorship: Logistics for Academic Underwriters

This page lists information and deadlines to help underwriters plan for the conference. This page will be updated as new information is announced, so please check back for details.

SCHOLARSHIPS

All Academic Underwriters receive scholarships for their students to attend, and you are responsible for awarding the scholarships to your students.

Each scholarship includes:

  • Full conference registration
  • Travel reimbursement funds up to $600 to include airfare, airport shuttle/taxi, and other reasonable travel expenses
  • Hotel accommodations for four nights at the Keystone Resort (check in September 30, check out October 4)

Scholarship allotment:

  • Gold: 10
  • Silver: 5
  • Bronze: 3
  • Supporter: 2

REGISTRATION

Once you receive your registration code, your students must register online (or you may designate one person to register all of them).

Online registration is now open and can be found at www.regonline.com/ghc08.

Students must register by September 3.

HOTEL

We will make the hotel reservations for all scholarship recipients at the Keystone Resort and Conference Center, and students will share rooms.

Hotel roommate requests and special needs may be indicated on the conference registration form.

Scholarship recipients will receive hotel accommodations for 4 nights, checking in September 30 and checking out October 4. If students wish to extend their stay, they must make their own separate reservations.

Hotel room confirmation numbers will be posted online in late September.

CONFERENCE BAG

Please remember the conference theme, “We Build A Better World” as you select your item for the bag. We encourage you to select something earth-friendly.

A suggested list of items can be found at www.ghc-sponsors.cathyrossner.com. Feel free to place your order with our preferred vendor, Cathy Rossner, at Creative Marketing Group.

Please contact Rachelle Siskin for approval of your item by September 5.

All underwriters are invited to include one small item, collateral piece, or gift in the bag.

Do not include anything fragile, heavy, or large.

You will need to ship 1600 items.

You may hand out additional items at your exhibit table.

Items should arrive between August 11 - September 24.

The conference bag is given out when attendees check in at registration.

EXHIBIT TABLE

Gold and Silver underwriters will each have their own 6-foot x 30-inch draped table with two chairs.

Bronze underwriters will share 6-foot x 30-inch draped tables with two chairs (up to three schools per table).

Gold underwriters will have one power strip for their table.

Gold, Silver, Bronze underwriters receive 2 ‘Exhibitor Only’ passes to staff their table.   These exhibitors are welcome to attend breakfast and lunch, but not the sessions or other conference related activities.  Exhibitors must register online, select ‘Exhibitor Only’ and enter the same code used for registering attendees.  If the exhibitors are already registered to attend the conference, they do not need to register again.

Staffing the exhibit table is not required, you may choose to just display materials on the table.  

If you do not plan on staffing or displaying materials on the exhibit table, please let Rachelle Siskin know immediately.

Each table will have an electronic scanner for exhibitors to exchange contact information with conference attendees, as part of our CONNECT project.  Exhibitors must register online with the CONNECT project to participate.

Set up time:

Exhibits open:
Wednesday, October 1, 5:30 - 9:30 p.m.
Thursday, October 2,  8:00 a.m. - 5:30 p.m. 
Friday, October 3, 8:00 a.m. - 5:30 p.m.

Break down time:
Friday, October 3, 5:30 p.m.

Booths are not permitted.

All banners and signage must fit behind the exhibit table, due to fire marshal regulations.

You will be notified of your table assignment September 16.

You may ship materials for your table to arrive between August 11 - September 24.

PRINTED MATERIAL

Gold and Silver underwriter logos will be included in the printed program and on event signage.

Specifications: logos must be CMYK or grayscale vector, or (300dpi) rasterized in TIFF or JPG file format (at 1.5 inches wide or more).

Email logo files to Jerri Barrett.

Bronze and Supporter underwriter names will be listed in the printed program and on event signage.

Deadline to submit is August 22.

RESUME DATABASE

All conference attendees are invited to upload their resumes into this year’s resume database. Academic underwriters and corporate sponsors will have access to view these resumes and contact people for job interviews, internships, and meetings at the conference.

Access dates:

  • Gold: August 15
  • Silver: August 22
  • Bronze: August 29
  • Supporter: August 29

A unique username and password will be emailed to you on your access date.

The resume database will be available until December 30.

GHC WEBSITE

All underwriters will have a high-resolution logo with a link to their company website from the GHC sponsor page.

Logo specifications:

  • Gold: 173 pixels in width (max) x 61 pixels in height (target)
  • Silver: 138 x 49
  • Bronze: 110 x 39
  • Supporter 88 x 31

PRESS RELEASES

Gold, Silver, and Bronze underwriters will be listed in the GHC press releases.

We encourage underwriters to put out their own press releases announcing your sponsorship. ABI can promote your press release within the community as well.

AWARDS PRESENTATION

The Awards Ceremony will take place at 7:30 p.m. on Thursday, October 2 at the Keystone Resort. 

This will be a theatre-style presentation, dinnner will not be served.

The awards ceremony will honor the Anita Borg Award winners for Social Impact and Technical Leadership, the Change Agent Award winners, and the Denice Denton Award winner.

There is no additional charge for conference attendees.

Prior to the awards ceremony there will be a reception, and immediately following the awards presentation there will be a dance party.

NEWCOMER RECEPTION

The Newcomer Reception takes place on Wednesday, October 1 at the Keystone Resort from 5:30 to 7:00 p.m.

This is intended for all first-time conference attendees who want to learn more about the conference and how to get the most out of their experience.

Silver corporate sponsors and academic underwriters are the official hosts of the Newcomer Reception.

PRIVATE RECEPTION

The Private Reception takes place on Thursday, October 2 at the Keystone Resort from 5:30 to 6:30 p.m.

This is a high-level networking event for CEO’s, CTO’s, members of the Anita Borg Institute Board of Trustees, and others invited to attend.

All underwriters will receive a certain number of invitations, depending upon underwriter level.

Gold corporate sponsors and academic underwriters are the official hosts of the Private Reception.
